Why spend so much on a phone system

Q. What is one of the major advantages of using a Hosted PBX Solution First for the small business that is using POTS(Plain old telephone service) from either Verizon, Bellsouth/AT&T; or Sprint. It gives the smaller company the larger company feel or appearance. Your company is going to get features that you can't get over a simple copper line such as: One Major advantage is that your callers will never get a busy signal when they call your office. As your company grows and has an influx of calls if your clients get a fast busy signal or go directly to voice mail it can hurt your company's credibility and it's bottom line. Built in disaster recovery – If your internet or power goes down in your building your calls will still be answered by the auto-attendant and be re-routed to a cell phone, a branch office, home office or answering service. Another solution to prevent your business from losing opportunities and improving your client's opinion of your company's reliability and availability. Find Me – Follow Me – That will allow your calls to follow you when you are out of the office or just away from your desk so that you don't have to miss opportunities. No more giving out your personal cell phone number to customers that want to call you all hours of the day/night. You decide when you want them to reach you. (Studies show that unified messaging can add up to 25-40 minutes of employee productivity per day) Voice Mail to Email Auto Attendant to answer and route your calls with a dial by name directory Softphone solution that you can install in a desktop or laptop to make and receive quality calls from your computer. I have been in Panera Bread and made calls right from my computer) Mobile integration of your Wi-Fi Enabled cell phone that can use your Wi-FI network and receive and make calls right from your mobile on the office's PBX system. It gives you the ability to make and receive calls when there is no cellular network but there may be Wi-Fi. It's also great for those who don't want to be tied to your desk and roam around the office but don't want to miss calls. Automatic Call distribution (Send calls to all phones at one, in a round robin fashion or most idle time) Call Ques for call center or sales environments Reduced overhead expenses with virtual workers(Reduce office overhead with the ability to let workers work from home(Many companies are running virtual call centers that are routing sales calls to agents working from home) Conferencing Built in(No longer pay for conferencing services and conferencing can help reduce travel time and costs) Music or Customized Marketing on Hold. Callers here about your service or solution while on hold. Internal Call Transfer Intercom Paging Our solution also allows you to add numbers and give a presence in local markets around the country but all ring into one location(You can have a local number in New York but answer all of your calls in Miami) As your company grows and needs to add locations you don't have to purchase additional cards or hardware to add new employees or an additional system for another location. Operational Agility allows you to perform moves, adds and changes on the fly with expensive and time consuming re-wiring. More features can be found herehttp://www.gocentrix.com/Services/Features Second if you have a traditional PBX or need to upgrade we can give you a feature rich system without the upfront capital outlay. As new features and upgrades are added you can get the benefits of the upgrade without paying an extra cost. Q. One of the biggest reason we don't want to change systems because of the fear of down time and the time that it takes to port our numbers over how do you handle that? A. Our project managers will issue you temporary telephone numbers and we have your existing numbers forwarded to the temporary numbers and keep your old telephone system running in parallel with our solution so if there is any problem during the implementation the old system is still up and running and within minutes can be restored to reduce any down time. We can coordinate installation early in the morning or late afternoon to avoid interruption to your business. Once everything is ready to go we can port your numbers over and cancel your existing service. Q. How does your solution compare to a Vonage/Skype? A. Vonage is a residential company that offers it's services to businesses but it does not have business class features like being able to transfer calls to another line, placing callers on hold, Intercom, Paging, Music on hold, auto-attendants and much more. There is also no quality of service with these types of services which means you never know what type of quality you are going to get when you make or receive a call. Which may be acceptable in a residential environment but not acceptable when you are making business deals. Q. Does bandwidth become and issue when implementing a Voice over IP System? A. We use one of the best compression rates in the industry and our calls are about 20K and don't take up much of your internet bandwidth per call so you will reduce any bottlenecks that can occur. As long as you have adequate internet bandwidth with low latency and limited number of hops your voice quality is crystal clear. We will test your current internet connection to see if it has the appropriate bandwidth and it's a quality connection. Q. What type of Internet service can be used? We can use a variety of Internet Service Providers. Our smaller clients with 3-4 phones are using DSL/Cable. Companies with 5-12 phones should are recommended to at least have a Broadband Cable Solutions. Companies with 12-50 phones should be using at least a T1 or perhaps a fiber internet connection would be the recommended solution. These solutions are also dependent on phone using and how the phones impact your business. For example if you are call center, I would always recommend a minimum T1 or a fiber connection. Q. What are the cost savings in implementing a Voice over IP Solution? A. Your management costs are reduced because you don't have to pay a maintenance contract for move, adds, changes, system or flash updates. Your upfront costs are removed from purchasing the premised PBXPayroll costs of having someone on staff to manage the system or the cost of sending someone to training to learn the systemMonthly Maintenance fees are goneThe scalability cost when your company grows is reduce because when you need to add another 10 employees to your existing phone system that can only handle 5 more extensions you are going to have to purchase either another expansion card or upgrade to another system. If you open up a branch office or have remote locations with a traditional PBX you are going to have to purchase another system for each location which can end up being costly. Our solution you just simply purchase more phones, each location can have it's own separate number but we can also provide 3 or 4 digit extension dialing between location. It doesn't matter if they are across town or across the country you don't have to pay long distance charges to communicate with a remote office. One you have multiple offices in different areas it becomes a hassle to have 5 different telephone companies providing you with bills. Our solutions allows you to simplify and have one provider(One throat to choke).Cabling Costs are reduced because you don't have to have one cable plant for the telephone wiring and another cable plant for the internet/data wiring. One cable plant reduces installation and management costs. We can offer most businesses an average savings of  30% but as much as 60% off their monthly telephone costs. Q. What about disaster recovery/business continuity how does Voice over IP compare? A. When the power goes out on a premise based PBX system your phones are at the mercy of your battery backup. It may remain in service for 15 minutes but if your power is out for an extended period of time when your customers call in they won't get a voice mail or a constant ringing. They will typically get a fast busy signal and you can end up losing thousands of dollars in business and your reputation is also on the line. Since the PBX is not onsite if a backhoe cuts the line your callers will never get a busy signal. When they call your auto-attendant still picks up the line and routes the calls to the appropriate extension. If that extension is offline it can be set to automatically re-route to a mobile number, a remote branch office or home number. If you do have a premised based PBX a hosted solution can serve as an excellent back up to mirror your existing PBX for critical departments and extensions that can be up and running in minutes.   Q. What about call quality. I have heard that Voice over IP sounds digitized or choppy? A. Just as the television broadcasting industry switched from analog to digital and you notice the difference between analog and high definition, if you are running POTS lines you are making a switch from analog(copper) lines into the realm of digital telephony. As long as you have the appropriate bandwidth, low latency, low packet loss and a low number of hops between your location and your hosted provider then your quality should be crystal clear and the IP handsets are going to have better quality than your analog handsets. B. Unlike residential based Voice over IP providers our business class service includes a router on-site that provides Quality of Service to give your voice traffic priority over other internet traffic and we install an media gateway device to manage the quality of your calls even over a poor internet connection. Q. In your opinion what is one of the main reasons why a small or medium business should consider a hosted PBX solution than a traditional PBX or regular phone lines. A. Money is on the line and every missed phone call or every time someone gets voice mail and doesn't leave a message is an opportunity lost. If you don't answer the phone then your client or prospect may go down the list and call someone who does answer the phone. We all want our business to grow but if you appear too busy to meet the needs of your clients then you may lose them. With traditional phone lines you are limited to the number of calls you can receive by the amount of lines you physically have coming into your office. Once you have reached the capacity of 5 or 6 calls for a smaller office it's about 3 calls your customer's go directly to voice mail. Call hunting is good if you have enough people to answer the calls but if you are smaller operation you can't do it nor is a cost effective to add the extra phone lines. A hosted solution will give you the opportunity to always have your calls answered by the auto-attendant up to 999 calls at once.
