Are you moving your office to a new building? I've handled many relocations and in regards to your phones and your network, I have come up with some pointers to remember. This will keep you on schedule and keep you with a full head of hair! 1) Appoint a lead project manager for the relocation project. Yes you'll loose some productivity but one point of contact for all the vendors will keep the flow of information from getting skewed. 1) Make a layout of the new office space. Decide how many phones, faxes, printers, alarm, security, and any other misc lines and extensions you'll need. Also decide if you're to keep old network and phone equipment or purchase all new. 2) Call the phone company. whether you're keeping your line configuration the same, and are simply moving them all from one place to another, or building your network with all new equipment, call MaBell first! They might be able to move POTS (analog) lines quickly, but your T1/DSL (internet, network) lines can take 2 months to get properly installed. 3) Overlap. Yes this costs more, don't try to move out and in all on the same day. 4) Get all the cabling installed in the new office before the furniture. You should call all your contractors as soon as you have a new address. It takes time to get estimates, deposit checks, order supplies, and follow-up. 5) Did you remember to call the phone company? 6) Work with your moving company to label all equipment and phones so they get put in the right place. 7) Pick a day to move that's convenient for everyone. Over-night moves are more costly and people are less productive than day-time moves. 8) After the equipment is connected you'll need to decide on programming changes to the telephone greetings, name changes (on phones), office hour and address greetings, and you'll need time for troubleshooting any problems. Now is the time to make these changes, not later. 9) Once everyone has moved, be prepared for the following statements; "At the old place...", "We used to be able to...", "Do I have to change my...", well you get the idea. Be patient, reassure your employees and consult with your phone and network vendors on what NOT to talk about with employees. 10) Decide on what to do with old equipment. Most old equipment can be recycled, donated, and cannot be thrown in the dumpster.
