Hiring a Bookkeeper Caren Schwartz|June 28, 2011|0 Comments When hiring a new employee, businesses generally rely on “gut feeling”, the candidate’s work experience and personal references. When hiring a new bookkeeper, how can you know if a person is competent and honest before you hand over your company’s books? Consider having the candidate take an assessment exam to test their capabilities. While there are several sources, for QuickBooks and bookkeeping we like theBookkeeper Assessment examsoffered by the Sleeter Group. In today’s environment it is often difficult to get good information from references, as companies have become hesitant to do more than confirm dates of employment. For references that come from sources other than employers the candidate is unlikely to give the name of someone who will not give a good recommendation. Be sure that the candidate has the level of education and professional experience that you expect, and which is necessary for the position. Take the time to check personal and business references. Ask about work performance, time management, strengths and weaknesses. You may not get direct information, so listen to what is said “between the lines” and trust your instinct. You should also verify that someone actually graduated from a university or other program listed on their resume. This is important not only to make sure they have the credentials you expect, but also to make sure you are given honest information. In this environment of stolen identities, you might also consider reviewing the candidate’s personal and credit background. Some employers are even doing a “Google” search to check the person’s online and social media reputation. While many people have closed Facebook pages, if their page is open you might get a feel for the person. Do you really want to hire a person to handle money if Facebook is filled with pictures of them appearing drunk? Discuss with the candidate his or her specific skills regarding computer programs in use by your office, high stress periods like year-end or tax time, and the ability to handle additional responsibilities as the company grows. Assess the candidate’s communication and multitasking skills as well as the ability to be a “team player”. If you have a good feeling going into the interview, you might want to plan to allow another employee to interview the candidate and give you their feedback. Your first steps show this person is a good candidate, what next? How can you just hand over your carefully balanced books to a complete stranger without losing sleep!? You can purchase tests to test a job candidate’s QuickBooks and related Bookkeeping, Accounting or Consulting skills and knowledge level. With the Sleeter Group tests, the prospective hire gets an email link to the test. They download and take the test at their convenience, or yours, and you are notified of the results. If you become a member of the Sleeter Group Consultants network, up to 50 assessment exams are included in your annual fee. Retail Point of Sale for QuickBooks

A client was referred to me by one of my CPA buddies, Don Ingram ,CPA ( this guy goes to Washington to fight the IRS). She was opening a retail store and wanted to know about QuickBooks Point of Sale. Now, one of my clients who closed her retail store had a POS system but it was a 2006 software. Well, of course I gave her a ring as a new POS system can be pricey around 2k for all the pieces- scanner, cash register, software, and computer. Unfortunately, the personal problems that forced her to close her store also scattered her POS system to the wind. So I had to go searching for POS system.Naturally, I started with QuickBooks POS itself and Ebay. You can find deals such as "free" POS systems given away by credit card companies- the hook being you have to sign up for their merchant service account. You can find refurbished systems from around $1100- the older the version the lower the price. Point of Sale comes in 2 versions Pro and Basic.Which one should you go for? If you have more than one store, want to send payroll data to QuickBooks Financial ( the QB we all know&love;), track employee hours and sales commissions, customize price tags, track layaways and sales orders, track multiple vendors and UPC codes per item you best plunk down the extra $500 for Pro.Should you go for Basic and decide later that you need Pro , QuickBooks will make you pay for the Pro version anyway. Ok-they'll give you a discount but it won't be the near the cost of buying the Pro upgrade.Solutions outside of QuickBooks offer flexibility in using Merchant Services other than those provided by QuickBooks. Companies like International Point of Sale offer systems that are less expensive than QuickBooks but still can talk to QuickBooks.The hardest thing to accomplish when setting up a POS system or any system when you are going to track inventory is setting up the inventory itself- usually due to the volume of data that has to be entered into the system. Afterwards , you need to commit to reconciling your inventory to the POS more than once a a year. The work involved in this is often a challenge to most small businesses.For a new business, the time, effort and cash spent setting up a POS system would be better spent on marketing and getting through the hump. While I would have loved to bill for a POS setup, this was not the right thing at this time for the client. After researching all the options, I did my best to talk her out of it and succeeded.
