This week I am assigning tradeshow booths for an event with meeting planners and suppliers in the Tampa Bay and Orlando regions. Things to consider:1. Layout for the maximum number of booths• We created pods with the booths rotated 1/4 turn so they are on X rather than +• We clustered the booths around food stations and added lounge seating in addition to one 72" round table and chairs and 3 high top cocktail rounds• Each food station cluster is decorated in a different theme to showcase the linen service available and complimentary pillows for the lounge seating.2. Color scheme• We stayed with black drapes and table linens so the exhibitor information would pop• Food station linens will be all burgundy• Each cluster will have a different style of white lounge style groupings accented in different "now" color schemes in linen options and pillows3. Competition• It is difficult to conduct business when your primary competitor is listening as you potential client discusses their needs so be sure to create space• Prior to booking the tradeshow or event, check to see if any major events are happening nearby that would compete for audience or create traffic jams4. Special Requests• Have consistent policies regarding FAQs such as booth sharing, electrical or internet access, shipping, exhibitor set up and tear down time• There may be requests for double booths, oversized booths or to be next to a sister company. These usually are blocked first but that does not mean they are preferred placements. Preferential placement ALWAYS goes to the sponsoring and supporting exhibitors5. Make it FUN!• Don't just take the trinkets and trash the product info ... if there is a promotional gift offered, take one ... not an extra for "the office."• Spend enough time to establish an initial relationship with exhibitors that you may buy from but recognize the size of the audience and allow time for them to interact with others. If you have a printed request for proposal in hand, your popularity will soar!• Provide testimonials to those vendors that have served you well• Take plenty of business cards to share with exhibitors and other industry professionals who are also attracted to the showThis event is geared toward meeting and event planners and suppliers in the Tampa Bay and Orlando regions however we have hotels and resorts from around the globe exhibiting.
