How to Set up Conference Space

When the employees of a business get together for a meeting inside a conference room it is important that they can effectively communicate for the success of the company. The way the conference room is set up may make a difference in how well the meeting goes.


  • Figure out how many people will be attending a normal meeting inside the conference room. Make sure to choose a room large enough to accommodate them all. You’ll also need to have plenty of seating. The number of people you have may also help you determine how to place chairs or tables. A larger group may be better off placed in rows of seating rather than at a large conference table.

  • See if there are plenty of electrical outlets that can be used to hook up computers or projectors for a presentation. It is best to choose a spot to hook up electronics where wires won’t interfere with the walkway. The spot should also be able to be easily viewed by anyone in the room.

  • Consider constructing a stage or platform for anyone putting on a presentation up front. This will allow them to be seen easier by all of the people in the meeting.

  • Add a microphone and PA system to speak to larger groups. Everyone should hear all of the information that is discussed at the meeting so they can work together to achieve company goals.

  • Think about adding a water cooler with cups to help keep everyone comfortable during the meeting.
