How to Make a Bill for Rent

If you have tenants or lease a building, you will need to create a bill for rent. It is important that the bill is easy for your tenants to read and understand. You will want to save the bill you have created so it may be reused every month.

1. Choose the computer program you wish to create your bill with. Excel has templates you can choose from, which can save you time and excess work. You could also use Microsoft Word or another application you are familiar with.


2. Open a blank document and enter the invoice date in the upper left corner. Next, type the renter's name and full address as it appears on the rental agreement below the invoice date.


3. Create a small space below the renters' address and place the time period the renters are responsible for paying rent. An appropriate example would be: Time Period: January 1, 2011 through January 31, 2011.


4. Enter the amount due to the right of the time period. If you are knowledgeable in creating tables, you could place the time period and amount due in a table.  


5. Enter a due date a few spaces below the time period on the left-hand side.


6. Create a disclaimer reminding renters of the payment policy they agreed to when they signed the rental agreement. This will explain if there is a grace period and explain when late fees will be assessed.


7. Type the words: "Remit to" and then your name or company name and full mailing address. Include a phone number or email address where the tenants can reach you if they have questions regarding their bill.


8. Spellcheck the bill for any errors and double check that you have used proper grammar. Ask a friend or co-worker to look over your bill. Ask the person for his or her opinion to be sure it is easy to understand. Make any necessary changes.


9. Print the bill and mail to your tenants. Make sure to save a copy for future reference.
