Education Tax Credits

Annual QuickBooks Maintenance

Now that January is just about over it's time for some annual QuickBooks maintenance.   I said "now that January is over" assuming that you've received your year-end bank and credit card statements and have reconciled all of your accounts through December of the following year. Please note that nothing I'm about to recommend in this article will remove or delete anything you've entered into QuickBooks.  All that I'm recommending is that you make QuickBooks more user-friendly to yourself. Make a backup of your of data to a CD or external hard drive (some location different from where you keep your working copy of your data) File Save Copy or Backup Backup Copy Follow the directions on the screen Make old customers, vendors and employees inactive: Click on "Customer Center" from your top toolbar Highlight the first customer in the list in the left hand column In the right hand column select:  Show:  All Transactions; Filter By:  All; Date:  Last Fiscal Year If then are NOT a new customer for 2010 and you do NOT see any transactions in the window on the right then: Right click on the customer name Left click on "Make Customer: Job Inactive" Repeat the above with the rest of the customers in the left hand column Click on "Vendor Center" from your top toolbar Highlight the first vendor in the list in the left hand column In the right hand column select:  Show:  All Transactions; Filter By:  All; Date:  Last Fiscal Year If then are NOT a new vendor for 2010 and you do NOT see any transactions in the window on the right then: Right click on the vendor name Left click on "Make Vendor Inactive" Repeat the above with the rest of the vendors in the left hand column Click on "Employee Center" from your top toolbar Highlight the first employee in the list in the left hand column In the right hand column select:  Show:  All Transactions; Date:  Last Fiscal Year If then are NOT a new employee for 2010 and you do NOT see any transactions in the window on the right then: Right click on the employee name Left click on "Make Employee Inactive" Repeat the above with the rest of the employee in the left hand column Make unused items on your Lists inactive: Click on "Lists" from the very top row in QuickBooks Click on "Chart of Accounts" Right Click on first account Select "Quick Report", which is the last option in your menu Dates:  "Last Fiscal Year" If the report is empty: Close the report to return to your chart of accounts Right click on that account Select "Make Account Inactive" Repeat the above with the accounts in your chart of accounts Click on "Lists" from the very top row in QuickBooks Click on "Item Lists" Right Click on first item Select "Quick Report", which is the last option in your menu Dates:  "Last Fiscal Year" If the report is empty: Close the report to return to your item lists Right click on that item Select "Make Item Inactive" Repeat the above with the rest of the items in your item list   Click on "Lists" from the very top row in QuickBooks   Click on "Item Lists"   Right Click on first item     Select "Quick Report", which is the last option in your menu   Dates:  "Last Fiscal Year"     If the report is empty:                  Close the report to return to your item lists                Right click on that item                Select "Make Class Inactive"   Repeat the above with the rest of the classes in your item list     Click on "Lists" from the very top row in QuickBooks Click on "Other Names List" Right Click on first item Select "Quick Report", which is the last option in your menu Dates:  "Last Fiscal Year" If the report is empty: Close the report to return to your item lists Right click on that item Select "Make Other Name Inactive" Repeat the above with the rest of the classes in your item list You can continue this with the rest of your lists if you like, but I have found the lists I mentioned above are typically the ones that need the most maintenance.  As I mentioned above, you are not deleting any data you're just making it "inactive".  Because you're not deleting anything your QuickBooks file size will not reduce.  What will happen is that your lists will not be so large and cumbersome as they have been which will make QuickBooks work a little faster and easier.Best wishes,Gina http://GLGcpa.com ...read more
